Administrative Assistant to the Chief Enrollment Officer

POSITION SUMMARY: Responsible for the forward movement of the projects and priorities of the Enrollment Division.

PRINCIPAL DUTIES AND RESPONSIBILITIES: 

  • Monitor Enrollment Division budgets and prepare monthly reports. Work to find causes for overbudget departments and be prepared with explanations.
  • Manage communication flow for the Enrollment Division both internally and externally.
    • Send out bi-monthly enrollment communication to the Enrollment Team.
    • Prepare communications for Deans and the Executive Team from the Enrollment Division.
    • Screen calls for the Acting Chief Enrollment Officer.
    • Ensure important Acting Chief Enrollment Officer e-mails are followed up in a reasonable time.
    • Maintain a list of prioritized, short-term to-do's for the Acting Chief Enrollment Officer to pursue as his time permits.
  • Expedite materials or actions according to instructions with little or no supervision within assigned time frame.
  • Maintain the Acting Chief Enrollment Officer’s calendar, make travel arrangements, and screen unscheduled visitors as well as proactively schedule needed meetings for the Acting Chief Enrollment Officer.
  • Create Chief Enrollment Officer reimbursement requests and prepare check requests for the Acting Chief Enrollment Officer’s authorization.
  • Create PowerPoints and compile written department reports for Board meetings, Board calls or the Executive Cabinet as needed.
  • Work closely with the Acting Chief Enrollment Officer in the spring to create enrollment projections.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong organizational skills
  • Strong initiative
  • Good written, oral and verbal communication skills
  • Ability to work well with others
  • Microsoft Excel, PowerPoint, Word

Required Education: Bachelors Degree
Required Experience: 1-2 years related experience
