Manager of Advancement Services

Position Summary: Join our dynamic team as the Advancement Services Manager and play a pivotal role in driving our mission forward. In this role, you will be a key internal member of our advancement efforts, ensuring smooth operations, effective fundraising, and meaningful donor engagement. PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Database and Systems Management:
    • Manage The Raiser’s Edge software, including database management, data entry, reporting, training, and data integrity.
    • Develop and implement policies and procedures for donations, stewardship, and database management.
    • Analyze fundraising data to identify trends and create progress reports and dashboards.
  • Collaboration and Coordination:
    • Collaborate with Alumni Relations to promote philanthropy and giving.
    • Coordinate with the financial services department on gift-related processes.
    • Coordinate key details for Advancement events especially for Homecoming Weekend and donor appreciation and fundraising events.
    • Support the Director of Grants Management by adding potential grants to the online portal and tracking grant progress.
  • Project Management:
    • Manage the Endowment Stewardship Reports process.
    • Manage key relationships with partner companies that provide strategic support (e.g., FreeWill, ThankView) or necessary legal state registration (e.g., Labyrinth).
  • Logistics and Office Support:
    • Produce reports and mail lists for departmental use.
    • Maintain departmental inventory and order supplies as needed.
    • Answer departmental phone lines and manage in-office mailings, filing, and printing.
    • Submit weekly check requests to Accounts Payable and handle reimbursements.
    • Maintain accurate website content and reporting.
  • Donor Communications and Stewardship:
    • Assist the VP and Donor Advisors with specialized donor communications, including large-scale mailings, reporting, and data extraction.
    • Coordinate daily and monthly stewardship acknowledgments and ensure timely mailing of letters and membership packets.
    • Write and produce stewardship letters, newsletters, and communications as needed.
  • Call Center Coordination
    • Oversee phonathon practices with Alumni Ambassadors, ensuring they meet their goals and by providing training and support.
  • Team and Culture Oversight:
    • Establish and maintain the annual Advancement Office budget.
    • Execute strategies to cultivate a team atmosphere (employee birthdays, employee appreciation days).
    • Assist with preparation of special presentations for board meetings and donors.
    • Assist with other tasks and events as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Advanced computer skills with MS Office (Word and Excel).
  • Proficiency in The Raiser’s Edge or similar CRM software.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and a high level of accuracy.
  • Ability to analyze and review operational procedures, identify problem areas, and optimize performance through procedural changes.
  • Experience in fundraising, donor relations, or advancement services preferred.

COMPUTER SKILLS:

  • Microsoft Word, Excel, PowerPoint
