Executive Assistant to the Chief of Staff

Position Summary: Manage the President’s staff; oversee executive level events and programs; provide support and counsel to the Chief of Staff; coordinate functions required for the efficient operation of the President’s Office; perform diversified and advanced organizational duties; and expedite material or actions requested by the Chief of Staff.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Manage and execute executive events (i.e. Pizza with the President, Bible Conference)
  • Manage the Executive Offices Reception Desk and Receptionist
  • Manage the President’s travel schedule with the Travel Coordinator
  • Manage the Presidential Traveling Teams as well as the BJUgrass Team
  • Manage the President’s correspondence by drafting, reviewing and approving correspondence at the direction of the Chief of Staff
  • Manage the President’s chapel coordination and involvement with the Chapel Coordinator
  • Manage creative projects through Marketing at the direction of the Chief of Staff and the President
  • Assist with the President’s calendar at the direction of the Chief of Staff (appointments, luncheons, speaking engagements, etc.)
  • Plan, manage, and execute various projects and events assigned by the President or the Chief of Staff
  • Research, quickly assimilate, and organize large quantities of data presenting it accurately, effectively and concisely
  • Develop printed and media presentation aids
  • Develop content for the President’s social media platform and other venues
  • Assist the Chief of Staff in answering/investigating campus suggestions/comments and make recommendations for change.
  • Assist the Chief of Staff in managing the budget for the Office of the President

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent communication skills, both written and oral
  • Administrative skills
  • Ability to apply established policies and procedures with no supervision
  • Ability to answer or direct questions in a professional, courteous, and timely manner
  • Ability to meet, establish, and enforce deadlines
  • Organizational skills, especially to effectively plan work activities, schedules, priorties, and resources
  • Ability to listen and comprehend quickly
  • Maintain a high degree of confidentiality
  • Ability to create and administer PowerPoint presentations
  • Professional in appearance and presentation (Coat & Tie)
  • Computer skills: Macintosh Application, Microsoft Access, Excel, PowerPoint, Word and Outlook; PhotoShop, Adobe Acrobat Professional and Logos
  • Other requirements:
    • Some travel required
    • Evening and weekend hours required
    • On-call required

COMPUTER SKILLS:

  • Microsoft Word, Excel, PowerPoint, Access
  • iOS Applications
  • InDesign/Adobe Spark/Canva
  • Photoshop/Lightroom

Required Education: Bachelor's Degree
Required Experience: One to two years related experience
