Position Summary: The Administrative Assistant and Event Assistant is directly responsible for the details related to handling office secretarial needs as well as supervising and coordinating event equipment, processing event requests and assisting with events as needed.


  • Maintain the office calendars
  • Submit equipment and vehicle requests
  • Order event and event office supplies
  • Assist the director with event requests
  • Ensure the organization, cleanliness, attractiveness, of the office area
  • Assist with  the university time management software
  • Manage event rental supplies and equipment (in and out processes/dry cleaning); coordinate the inventory and cleaning of the event supply closets
  • Event coordinating:  STAND Conference, Homecoming, Christmas, etc.  


  • Bachelor’s degree (four year college or university)
  • Ability to maintain professional and friendly manner with customers
  • Good social skills and ability to effectively communicate in person, on the phone and in writing
  • Knowledge of department and University policies, procedures and practices with the ability to communicate them to customers
  • Assists in coordinating the Marketing plan for the larger campus events
  • Processes event contracts, insurance approvals, and assists in scheduling campus events
  • Assists with Ultipro, the time management software
  • Responsible for ordering all event /event office supplies
  • Coordinates the inventory of event supplies
  • Assists the events team in coordinating the larger campus events

Required Education: Bachelor's Degree Preferred
Required Experience: No prior experience necessary
