POSITION SUMMARY: Coordinate all travel details & correspondence related to the Office of the President, including communication with guest speakers.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Independently coordinate the Office of the President’s guest speakers (chapel & all others). This will include coordinating travel arrangements, reimbursement and itineraries for any presidential guests.
- Create chapel and special meeting (i.e. Bible Conference) agendas.
- Coordinate all details for special meetings and chapel with multiple departments.
- Create and continuously update fall and spring chapel schedules.
- Answer & screen incoming phone calls & drop-ins on a limited basis. Ascertain situations &, when necessary, direct caller or visitor to appropriate department or individual.
- Proofread all work to ensure accuracy. Expedite material or actions with little or no supervision, while maintaining a high degree of confidentiality and tact.
- Schedule/post preaching trips (churches and Christian schools) to the president’s calendar.
- Maintain stock of gifts & materials to send on trips.
- Perform advanced diversified duties & backup support as needed for the Chief of Staff.
- Work on special projects as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Thorough understanding of BJU, its philosophy, and mission.
- Knowledge of modern office practices, procedures, and management principles.
- Effective verbal and written communication skills including the ability to proofread materials to ensure accuracy.
- Ability to multitask, including answering multi-line phone system while locating telephone numbers, division offices and related information.
- Previous experience in communicating/relating well through written & oral means with students, staff, &/or the general public.
- Ability to be organized, plan ahead, and function independently.
- Professional in appearance and presentation.
- Computer skills: Microsoft Excel, Word, PowerPoint and Teams.
CERTIFICATES AND LICENSES: South Carolina driver’s license.
