Art & Design Operations Coordinator

Position Summary: Perform varied operational and administrative tasks to assure the efficient operation of the Division of Art + Design and to assure the division runs smoothly by supporting the programs and initiatives of the division as directed by the division chair.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Interview, hire, schedule, direct, and supervise the work of the building assistants, Fashion lab monitors, Interior Architecture + Design lab monitors, and computer lab monitors.
  • Establish policies and processes for building assistants and lab monitors.
  • Write proposals and business cases as directed by division chair.
  • Assist with creation of the division budget and maintain the budget including providing division chair with monthly budget reports.
  • Order items through Bellis, Campus Nexus Finance, Distribution, Facilities, and other vendors.
  • Submit technology and facilities requests.
  • Manage credit card and petty cash accounts.
  • Maintain Permanent Collection database.
  • Work with the division chair to coordinate the annual maintenance on the Last Supper mosaic.
  • Work with the division chair to coordinate the Art + Design Committees
  • Work with the division chair and faculty to coordinate to identify and apply for funding opportunities
  • Work with the division chair to develop, market, identify, organize, and distribute scholarships.
  • Coordinate various departmental/campus events including but not limited to U-day. Christmas Celebration, and Exhibition Openings.
  • Assist with A+D EduCamp, High School Festival and AACS events.
  • Provide a bi-monthly report of committee and scholarship progress.
  • Assist with graphics for division social media accounts and exhibitions.
  • Be available for questions from division chair, faculty, and student staff.
  • Generate and document correspondence.
  • Greet guests and visitors and assist them as needed.
  • Assist with midpoint review process including scheduling midpoint review test and portfolio reviews and data collection.
  • Coordinate various departmental/campus events including senior exhibitions, senior dinner, Commencement Contest.
  • Keep subscriptions current (magazines, memberships, and others).
  • Perform as a liaison to other departments on campus per need.
  • Perform data entry using Word and Adobe software; proofread all work to ensure accuracy.
  • Oversee student locker assignments.
  • Update information and maintain records for the division.
  • Address needs of faculty and students as they arise (equipment, supplies, building needs, etc.).
  • Manage scheduling for meetings, appointments, and community spaces.
  • Be available on call for questions from division chair, faculty, and student staff.
  • Other duties as assigned by division chair.

  • Understanding of budget processes and practices
  • Willingness and ability to learn new technology and applications

  • Understanding and support of the mission of Bob Jones University
  • Valid Drivers License

COMPUTER SKILLS:

  • Adobe InDesign, Adobe Creative Cloud experience preferred
  • Microsoft Word, Excel, PowerPoint, Access
  • MacOS

Required Education: Associate's Degree
Required Experience: One or two years related experience
