Administrative Assistant, Director of Musical Activities

Position Summary:  Bob Jones University Division of Music seeks an administrative assistant with a Christian worldview for a 12 month 40-hour position.  This administrative assistant will perform diversified secretarial duties and projects for the Director of Musical Activities.  The successful candidate will be a ministry-minded person who will show a commitment to the mission of BJU and the Division of Music and will contribute proactively to the spiritual, intellectual and artistic life of this Christian liberal arts university.


General Office Support

  • Perform general administrative assistant duties: letters, documents, reports, memoranda
  • Perform data entry using word processing software; proofread all work to ensure accuracy
  • Share the handling of the regular traffic, answer telephones, direct calls to the appropriate personnel, answer inquiries and transmit instructions
  • Address needs of faculty and students as they arise (equipment, supplies, illness, building needs, etc.)
  • Assist with creating and proofreading PowerPoint slides for chapel specials


  • Prepare recital information packets for each recitalist throughout the entire school year
  • Create all student and departmental printed recital programs in the Division of Music, collect information, format, proofread, order programs through Bellis Copy Center, pick-up and delivery of programs to recital venues
  • Create advertising posters for most FA recitals/concerts
  • Update information and orders posters and invitations for University music groups
  • Perform as liaison between music directors and Marketing Communications (MC) for specific recital posters and invitations
  • Process orders for audio recordings of all concerts and recitals (paperwork and student billing)
  • Handle and process mechanical licenses for all FA programs
  • Handle and process webcast licenses for all webcasting of FA programs
  • Create PowerPoint slides advertising all recitals/concerts on GFAC kiosks
  • Ordering and inventorying paper for recital programs


  • Maintain a cumulative Fine Arts schedule for posting, communicating changes to other departments
  • Produce the weekly Fine Arts Calendar for the Divisions of Music, Communication, and Art
  • Assist with posting of Fine Arts information on the various bulletin boards on campus

High School Festival

  • Assist with significant preparation for the music portion of the High School Festival inititated by the Director of Musical Activities

AACS National Competition

  • Assist with significant preparation for the music portion of the AACS National competitions initiated by the Director of Musical Activities

Social Media

  • Prepare items (pictures, concerts, special awards, etc.) for posting on the Division of Music Facebook page
  • Support of recruiting projects

Instrument Lockers

  • Manage instrument locker rentals and billing details for first and second semester
  • Manage instrument rental billings once each semester
  • Changes instrument locker combinations on a semester-by-semester basis

Chair, Division of Music

  • Assist as needed with recruitment projects and donor relations initiated by the Division Chair

FA building student Hosts and Hostesses

  • Hires and supervises FA building hosts and hostesses
  • Checks timesheets bi-weekly for hosts, hostesses, and accompanists and reconciles any errors

Summer Music EDUcamps

  • Assist with extensive preparation for the three weeks of music EDUcamps in May, June & July initiated by the Director of Musical Activities


  • Two years of secretarial work experience or customer service experience to include extensive telephone coverage and greeting the public face-to-face
  • Ability to use a multi-line telephone system
  • Must be able to demonstrate knowledge of English composition and grammar skills
  • Excellent interpersonal skills to communicate with students, faculty, staff and the general public in a friendly, courteous and professional manner
  • Experience with InDesign, Microsoft Office Suite
  • Familiarity with various social media platforms (Facebook, YouTube)
  • Familiarity with music terminology with a basic understanding of music literature genre and repertoire
  • Detail-oriented with ability to manage a variety of tasks and special projects

Required Education: Bachelor's Degree
Required Experience: One to two years related experience
