Executive Assistant to the president of BJU Education Group

POSITION SUMMARY:  The Executive Assistant to the president/CEO of  BJU Education Group will oversee executive level events and programs; provide executive level support and counsel; coordinate functions required for the efficient operation of the president’s office; perform diversified and advanced organizational duties; expedite material or actions requested by the president; and work projects to assist the organizational strategy.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Oversee the president’s:
    • Travel schedule
    • Correspondence by drafting, reviewing, and approving correspondence and initiate responses to standard communications
    • Chapel coordination
    • Calendar, including the coordinating of calendars with the executive wing assistants
  • Direct incoming mail, calls, and visitors
  • Coordinate and assist with hospitality for special guests as needed
  • Provide information and assistance in a timely and courteous manner
  • Record notes in meetings and compile agendas
  • Provide administrative assistance as needed for the Education Group board meetings and the speech and debate team
  • Provide oversight and support to the Education Group board
  • Serve as liaison for the president with both internal and external relationships
  • Plan, manage and execute various projects and events assigned by the president
  • Research, quickly assimilate, and organize large quantities of data presenting it accurately, effectively, and concisely
  • Write talking points and develop printed and media presentation aids
  • Answer/investigate organizational suggestions/comments and make recommendations for change
  • Support strategy development

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Administrative skills
  • Excellent communication skills, both written and oral
  • Skill in grammar and business etiquette
  • Skill in proofreading materials to ensure accuracy
  • Ability to work both independently and as a team player
  • Ability to apply established policies and procedures with no supervision
  • Ability to maintain calm and respond graciously and discreetly under pressure
  • Ability to answer or direct questions in a professional, courteous, and timely manner
  • Ability to make independent judgments based on the president’s thinking and the Education Group strategy
  • Ability to listen, comprehend, and work quickly and accurately
  • Ability to establish and achieve deadlines
  • Ability to independently identify and undertake additional tasks to be accomplished
  • Ability to read and interact well with people
  • Strong coordination skills
  • Organizational skills especially in regards to activities, schedules, priorities, and resources
  • Flexibility
  • Ability to maintain a high degree of confidentiality
  • Ability to create charts, tables, pivot charts and tables and Gantt charts
  • Computer skills
    • Microsoft Access, Excel, PowerPoint, Word and Outlook
    • Microsoft Project and Visio
    • PhotoShop
    • Adobe Acrobat Professional
  • Other requirements:
    • Some travel required
    • Evening and weekend hours required
    • On-call required

Required Education: Bachelor's Degree
Required Experience: One to two years related experience
