Front Office Product Support Specialist

POSITION SUMMARY:  Assist Content Development and Editorial Services staff members with various office tasks.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Cover front desk, including assisting visitors and delivery personnel.
  • Answer phones.
  • Write and proofread letters sent on Press letterhead, including customer responses.
  • Route customer letters and responses monthly.
  • Serve as Building Representative, including communication with Facilities, ordering furniture and supplies, maintaining furniture inventory records, and requesting IPRs (Initial Project Requests).
  • Serve as Safety Coordinator, making sure employees are compliant with policies in the case of any injuries at work.
  • Maintain organizational charts and floor plans.
  • Handle confidential personnel records and correspondence.
  • Communicate with departments via email regarding announcements, upcoming events, etc.
  • Prepare NetSuite orders.
  • Sign for and deliver packages.
  • Pick up mail at drop off and distribute it as designated.
  • Prepare and scan reimbursement requests for Accounts Payable.
  • Prepare check requests for Business Office.
  • Maintain information on and request keys and building door access for employees.
  • Arrange visitor tours and inform employees of upcoming tours (including VIP tours scheduled by Marketing).
  • Make conference, vehicle, flight, and other travel arrangements for employees as needed; organize expense and time reports upon employees' return.
  • Maintain subscriptions.
  • Order calendars each year.
  • Collect, record, and submit photocopy funds monthly.
  • Develop procedures and maintain schedules for weekly prayer meetings, break room upkeep, JourneyForth lending library, and break room sign-up sheet.
  • Plan and carry out social activities--e.g., Christmas Superbreak, Summer Superbreak, retirement parties, annual Awards Program, etc.
  • Provide proofreading services for Editorial (if qualified) as time allows.
  • Take meeting notes and distribute when requested.
  • Create new employee workstation name tags.

  • Assist Director of Content Development and Senior Manager of Editorial Services with other tasks as needed

Required Education: Associate's Degree
Required Experience: One to two years related experience
